RULES and regulations of TriCity Trail 2022

I. Organizers:

  1. Fundacja Krok do Natury, Krucza 9, 62-100 Wągrowiec, tax number: 766 199 79 10.
  2. Piotr Książkiewicz Sport & Event Consulting, Kulińskiego 18, 62-100 Wągrowiec, tax number: 766 191 64 84.

II. Honorary Patronage:

  1. The list of honorary patrons will be published not later than a few weeks before the planned date of race.

III. General information (profile):

  1. Ultramarathon TriCity Trail has a character of an individual, linear (along a designated route) trail run along the Tricity Landscape Park and Gdańsk Inspectorate tracks, with short city elements. The route is technically quite easy but is important to keep reserves of power for over 83,3 km to there are more than 30 climbs and run-ups to face and elevation +1705/-1805 The time limit to complete the route is 15 hours. The race will take place on July 9, 2022 in the the Tricity Landscaped Park. Start will be in Gdańsk at 5 A.M and finishes in Wejcherowo. The maximum number of competitors: 250.
  2. Marathon+ is an individual, linear (along a designated route) trail run. Course is designated along the Tricity Landscape Park and Gdańsk Inspectorate tracks (with short city elements). The route is varied but technically easy: 49,1 km distance and elevation of 1015 m. The time limit to complete the route is 9 hours. The race will take place on July 9, 2022 in the Tricity Landscaped Park. Start is located in Gdynia at 7:00 A.M. and finishes in Wejcherowo. The maximum number of competitors: 250.
  3. Half Marathon has a character of an individual competition, along a designated route, entirely led the tracks of the Tricity Landscape Park and Gdańsk Inspectorate. Distance is 21,4km and 400 m of elevation. The route does not require mountain preparation, it is typically cross-country. The time limit to complete the route is 4 hours. The race will take place on July 9, 2022. Commencing and finishing in Wejherowo (at 9:00 A.M.). The maximum number of competitors: 500.

IV. Purpose of the competition

  1. Promoting a healthy lifestyle, ecological education and physical activity in nature.
  2. Promoting of the Tricity Landscaped Park in Poland and in the world.
  3. Giving the opportunity to check ones strength and chances in sports competition.

V. Time and place:

  1. Date: July 9th, 2022.
  2. Schedule of the races:
    • 83 km(80+) - 5:00 A.M.
    • 49 km(Marathon+) - 7:00 A.M.
    • 21 km(Halfmarathon) - 9:00 A.M.
  3. Place: The Tricity Landscaped Park, Gdańsk Forest Inspecorate area. Competition office: Zespół Szkół Ponadgimnazjalnych nr 4, ul. Sobieskiego 344, 84-200 Wejherowo.

  5. The starting places of the races:
    • 83km (80+) - entrance to the Tricity Landscaped Park on Harfowa Street in Gdańsk (around road junction „Gdańsk Lotnisko” - on the ring route of Tricity (route S6);
    • 49km (Marathon+) - entrance to the Tricity Landscaped Park on Appolina Street in Gdańsk (around road junction „Gdynia Chwarzno” - on the ring route of Tricity (route S6);
    • 21km (Halfmarathon) - entrance to the Tricity Landscaped Park near cemetery parking on Roszczynialskiego 77 Street in Wejherowo.
  6. Place of finish line: City Park in Wejherowo (Park Miejski im. Majkowskiego w Wejherowie).

VI. Route and distance:

  1. The routes of the runs leads through touristic trails of the Tricity Landscaped Park.
  2. In several places the trail (and the route as well) enters an urbanized area. The participants must follow in that cases traffic rules. In case of breaking these rules, time penalties will be applied to the participants.
  3. The route will be marked on its entire course with particular emphasis on parts where the route changes. The exact course of the route and profile can be found on our website in the section: “TRASA”.
  4. The route is demanding - it contains significant elevation (especially like for the northern part of Poland):
    • 80+:
      • Distance: around 83,3 km;
      • Elevations: +1705/- 1805m;
      • Time limit: 15 hours.
    • Marathon+:
      • Distance: around 49,1 km;
      • Elevations: +1015/- 1115m;
      • Time limit: 9 hours.
    • Half marathon:
      • Distance: around 21,4 km;
      • Elevations: +/- 400m;
      • Time limit: 4 hours.

VII. Race office:

  1. The race office will be open:
    • Friday, July 8, 2022 - for all distances:
      • Location: County School Complex no 4, Sobieskiego 344 Street, 84-200 Wejherowo;
      • Open hours: 3 P.M. - 10:00 P.M.;
    • Saturday, July 9, 2022 - only for half marathon:
      • Location: Majkowskiego Citypark on Wybickiego Street in Wejherowo, next to the place of finish line.
      • Open hours: 7:15M. – 8:15 A.M.

VIII. Terms of participation:

  1. The participant of the TriCity Trail races may be each person who at the latest on July 9, 2022 turns:
    • 18 years old - for the distances 80+km and Marathon+;
    • 16 years old - for the distance Half marathon.
  2. The participant is a person who fulfill the condition set out in point VIII.I and register for the race using the application form, pay the entry fee, and will sign a statement of running on its own responsibility (legal basis: Act of 25 June 2010 on sports).
  3. Each of the participants during the registration (electronic or in the race office) have the obligation to provide information about the vaccination against COVID-19. Providing such information (whether the answer is positive or negative) is a necessary condition to participate in the races.
  4. Participants agree to processing of their personal data for the internal needs of the organizer and purposes related to the cooperation between the organizer and partners of the event.
  5. The participants must have an identity document (ID, passport, driving license) during verification in order to check the identity and the date of birth.
  6. The participants must follow the rules of the race and the rules of the Tricity Landscaped Park.

IX. Registration:

  1. Registration is possible since December 30, 2021 until July 3, 2022 using the electronic form available on our website: zapisy.krokdonatury.pl. After this time, registration will be only allowed on the date of the event at the race office (unless the limit of applications will be reached).
  2. The Organizer sets the limit of application:
    • Ultramarathon 80km+: 250 competitors;
    • Marathon+ (47 km): 250 competitors;
    • Half marathon (21 km): 500 competitors.
  3. The person who filled the registration form and paid the entry fee is considered as a participant.
  4. All participants must be verified at the race office. During the verification a participants must possess/have a document confirming their identity.

X. Entry fee:

  1. General information:
    • The entry fee must be paid via electronic payment (dotpay.pl) available in the registration form zapisy.krokdonatury.pl;
    • The entry fee is not valid when it is paid after the deadline or after the limit of places has been reached;
    • Since March 1st until June 30th there is a possibility to transfer the race package to another competitor or change chosen distance. Change to a longer distance require extra charge according to the current entry fee;
    • On participant’s request (made during the registration in the electronic panel) a VAT invoice will be issued.
  2. Change of date / cancellation of race:
    • In case of necessity of changing the date of the race beyond the control of the organizer, the entry fee will be automatically transferred to a new date or alternative race proposed by the organizer;
    • If it is not possible to organize the race on a new date, the entry fee will be returned in the amount reduced by administrative costs (their amount will depend on the time which competition is cancelled);
    • Shortening, change the course of the route, cancellation of competition on one of the routes or complete cancellation of the competition completely their duration is not a basis of refunding the entry fee;
    • In case of cancellation of the competition due the organizer’s fault before its start, participants are entitled to refund of the entry fee.
  3. The amount of entry fee:
    • 80+ (each entry fee includes 12 PLN fee for usage land managed by the Gdańsk Inspectorate):
      • 119,99 PLN until January 31, 2022;
      • 139,99 PLN until March 31, 2022;
      • 159,99 PLN until June 30, 2022;
      • 179,99 PLN since July 1st, 2022 (and at the race office July 8, 2022).
    • Marathon+ (entry fee includes 7 PLN fee for usage land managed by the Gdańsk Inspectorate):
      • 104,99 PLN until January 31, 2022;
      • 124,99 PLN until March 31, 2022;
      • 144,99 PLN until June 30, 2022;
      • 164,99 PLN since July 1, 2022 (and at the race office July 8, 2022).
    • Half marathon (21km):
      • 49,99 PLN until January 31, 2022;
      • 59,99 PLN until March 31, 2022;
      • 69,99 PLN until June 30, 2021;
      • 84,99 PLN since July 1,2021 (and at the race office July 8-9, 2022).
  4. Charity package:
    • During the electronic registration there is a possibility to choose a charity starter pack, the entry fee will be increased by 30 PLN;
    • The whole amount (reduced by the value added tax VAT – 8%) collected from the charity path will be donated to the foundation Hospicjum Pomorze Dzieciom (Aleja Józefa Hallera 140, 80-416 Gdańsk, NIP 583 317 07 34);
    • The bib number in the charity starter pack will be marked with a foundation logo.
  5. Free registration and discounts for the Elite runners:
    • The competitors with specific ITRA index may take the opportunity to have a lower entry fee or a complete exemption from the entry fee;
    • Indicators which give a free registration:
      • Men ≥ 730;
      • Women ≥ 610;
    • Indicators allowed to have a 50% discount on the entry fee:
      • Men: 700-729;
      • Women: 580-610.
    • Runners who meet the above criteria may take the opportunity:
      • until May 31, 2022 - exemption from the entry fee;
      • until June 1, 2022 - reduction of the entry fee to the amount of the first threshold (119,99 PLN for 80+ km distance, 104,99 PLN for the Marathon+ distance and 49,99 PLN for the Half Marathon);
      • To take advantage of the above opportunities runners must contact organizer via e-mail address: kontakt@krokdonatury.pl.
    • The "general" indicator on the day of registration is decisive for the qualification to the given group.
  6. Free registration and discounts for runners outside of the Elite runners:
    • All runners can have an exemption from the entry fee who at the latest on the date of the race turn 65 years old. Runners over 65 who wants take an advantage of the free registration must contact organizers via email address (kontakt@krokdonatury.pl) until May 31, 2022 or before limit of the participants will be reached (whichever comes first).
  7. Refund of the entry fee:
    • The refund is possible where there is lack of possibility to take part in the race and the reasons are circumstances beyond the control of the participant. The amount of refund is determined by the date of resignation:
    • until March 31, 2022 - refund of 75% of the entry fee;
    • until May 31, 2022 - refund of 50% of the entry fee;
    • from June 1, 2022 - refund of the entry fee is not possible (accordingly to the point X.1 until June 30, 2022 there is possibility to transfer the race package to another competitor);
    • The resignation from the race must be requested via email address: kontakt@krokdonatury.pl;
    • During the refund of the entry fee, also will be refunded all extras purchased during the registration (100% of the paid amount).

XI. Benefits:

  1. As the part of the entry fee, the organizer provides for all distances:
    • Participation in race, electronic time measurement and route service;
    • access to sanitary facilities before and after the start of the competition;
    • bib numbers;
    • drinks and meals along the route;
    • a regenerative meal after the competition (for 80+ km and Marathon+ km will hot meal);
    • medical care;
    • judge service;
    • medals for all competitors, who will finish the race.
  2. In addition, each of participants who pay the entry fee has the opportunity to purchase at a preferential price:
    • an occasional multifunctional tube scarf, costs 12 PLN (price outside the starter package 24,99 PLN);
    • a paper map of the routes, costs 8 PLN (price outside the starter package 14,99 PLN) only for 80+ km and Marathon+ km distances;
    • transport from the competition base in Wejcherowo to the start of the run, costs 10 PLN, only for the 80+km and Marathon+ distances;
    • accommodation in the competition base (in the sports hall or classroom in Wejherowo) from July 8th to July 10th, 2022, costs 20 PLN;
    • a regenerative meal after the competition for Half Marathon costs 12 PLN;
  3. Statuettes and material prizes for the best runners.

XII. Control checkpoints, nutritional points:

  1. The classification is based on the electronic time measurement of a chip, which is given to participants in the starting package and must be attached to the shoe by the laces. Measuring mats, which record participant’s appearance, are going to be placed at the start, finish and the control points. Lack of confirmation of participant’s presence at the control point may result in disqualification.
  2. Nutritional points will also be functioning as the control points, participants who will not appear at a certain time will not be allowed to continue the race.
  3. Competitors, who will get to the control checkpoint after the time limit, will not be qualified in the race, should stop the run, take off the starting bib and toe the line to instructions from the service.
  4. In case of not applying to the rules, the contestant during the need of an eventual rescue operation may be charged to pay all its costs and the organizer is no longer responsible of the participant.
  5. Nutrition points:
    • Nutrition point no.1 - around 19km of the 80+km distance water, isotonic drinks, sweets, fruit, time limit 80+ km: 3h30min;
    • Nutrition point no.2 - around 35km of the 80+ km distance / start of the Marathon+ - water, isotonic drinks, sweets, fruit, time limit 80+ km: 6h30min;
    • Nutrition point no.3 - around 55km of the 80+ km distance / 20km of the Marathon+ distance - water, isotonic drinks, sweets, fruit, time limit of 80km+: 9h45min, time limit of Marathon+: 3h15min;
    • Nutrition point no. 4 - around 72km of the 80+ km distance / 37km of the Marathon+ / 12 km of Half Marathon - water, isotonic drinks, sweets, fruit, time limit of 80+ km: 13h30min, time limit of Marathon+: 6h30min, time limit of the Half Marathon: 2h30min.
    • precise supply of nutritional points will be given in the technical announcement before the race;
    • The organizer does not provide disposable cups on the nutrition points;
    • Nutrition points will also functioning as the control points.
  6. Additional control points will be added on the route, where the presence will be confirmed by the judge or by using a perforator (as in the orienteering race). Lack of confirmation of passing checkpoint may result in disqualification.
  7. Omitting any checkpoint will result in time penalty or disqualification (the decision belongs to the main judge).

XIII. Mandatory equipment:

  1. Participants of 80km+ and Marathon+ are obligated to possess during the race:
    • Water container (bottle/s or reservoir) of minimum capacity of 1 l;
    • Reusable cup (if the participant does not have water bottles of which he/she can drink from at the nutrition points), the organizer does not provide disposable cups;
    • A mobile phone with a battery working at least during the race;
    • emergency blanket;
    • ID or Passport;
    • emergency blanket;
    • map with the route of the run or GPS track in a watch / mobile phone which competitor is sure of the battery life (the device must be turned on during the verification of the obligatory equipment at the finish line);
    • bib number;
    • chip for time measurement.
  2. Participants of Half Marathon are obligated to possess during the race:
    • Water container (bottle/s or reservoir) of minimum capacity of 0,25 l or reusable cup which may use on the nutrition point, the organizer does not provide disposable cups;
    • bib number;
    • chip for time measurement.
  3. The final list of mandatory equipment is subject to change due to the weather predictions during the race and will be given in the pre-start announcements.

XIV. Individual classification and awards:

  1. Distances: 80+ km and Marathon+ km:
    • general classification of women and men - in OPEN classification each of the 6 best women and the 6 best men will be awarded.
  2. Half Marathon:
    • general classification of women and men - in OPEN classification each of the 3 best women and 3 best men will be awarded;
    • age classification (Half Marathon only): W20/M20 (16-29 years), W30/M30 (30-39 years) W40/M40 (40-49 years), W50/M50 (50-59 years), W60/M60 (over 60 years) - in each age classification competitors from places 1-3 will be awarded;
    • the classifications do not duplicate, runners awarded in the general classification will not be awarded in the age classification.
  3. Awards:
    • in the general classification (all distances) and in the age classification (half-marathon distance only) the prizes will be: statuettes and material prizes with a total value of min. 10,000.00 PLN;
    • Condition of receiving the prize is personal participation in the decoration ceremony (of the awarded person or a person authorized by the awarded person) in case of absence of the awarded participants the prizes are forfeited and will not be presented.

XV. Deposit:

  1. At the start of the 80+ km and Marathon+ km distances there will be available a deposit for participants who would like to leave their belongings. The deposit for the Half Marathon will be located near the finish line.
  2. There will be no disposable bags available in the deposit. In order to use the deposit you have to leave your belongings in a bag / backpack or your own bag.
  3. Belongings left at the start of the run will be available for pick up at the finish line (Amphitheatre in Wejcherowo) from 10:00 a.m.
  4. The organizer does not take any responsibility for the valuable items left in the deposit (documents, cellphones and other electronic devices). If it is necessary to leave valuable items for storage, please contact the organizer in person each time.
  5. There will be no additional deposit for the persons staying overnight in the sports hall.

XVI. Safety measures:

  1. Each of the participants during the registration (electronic or in the race office) have the obligation to provide information about the vaccination against COVID-19. Providing such information (whether the answer is positive or negative) is a necessary condition to participate in the races.
  2. Before the race each participant is obliged to fill in a questionnaire (click here). If any answer is yes, they should give up on running the race.
  3. Participants are required to cover the nose and mouth area with a mask or scarf on the premises of the event village including the competition office, deposit, shopping stalls and buffet tables.
  4. In the starting zone (before the race) and in the finish-line area (after having completed the race and before getting a medal) it is advised to take such precautions as covering the face with a mask/scarf or maintaining a 1,5 m distance from other people.
  5. Starting and finish zones will be marked and the staff will implement procedures to minimize congestion and ensure that the number of runners in the zones is as low as possible.
  6. Please remember to arrive at the competition office without any supporters. One person at one customer service desk rule must be obeyed and people standing in queues must keep a 1.5 m distance. The work of the competition office will be conducted by volunteers in order to minimize gathering and standing in lines.
  7. A body temperature measure may be made at the event space.
  8. The participant signing up for the races and accepting all the conditions of the agreement is obliged not to press any charges against the organizer in case of getting infected with Covid-19 during the race.
  9. The participants must leave their contact details so that sanitary services may act in case an infected person has taken part in the race.
  10. The above mentioned recommendations and regulations may be modified following the new guidelines from the Ministry of Health.

XVII. Protection of personal data:

  1. Personal data of participants will be processed for the purpose of the event, selection of winners and the awarding, issuance, receipt and settlement of prizes and also for marketing purposes.
  2. The processing of data referred to in paragraph 1 of this point in connection with the participation in the run also includes the publication of the participant’s first and last name along with the name of the city where he/she lives.
  3. Participants allow the organizer to use their image free of charge in order to promote running and documentation of the competition, as well as to use their image to promote the event by co-organizing entities, partners and sponsors of the competition.
  4. Participant has the right to check and correct their personal data.
  5. Providing personal data and agreeing to their processing is voluntary, but the lack of consent to its processing does not allow for the participation in the competition. By registering for the run, the participant agrees and allows the use of personal data provided by him for purpose of sending information to the participant, e.g. e-mail, text message, regular letter, of future events and commercial products, as well as internal administrative and analytical needs, in accordance with the Act on the Protection of Personal Data of August 29th 1997, Journal of Laws nr. 133, item 883. Participant has the right to withdraw such consent and may do so at any time by directing correspondence to the organizer’s address.
  6. All the information about participants obtained by the organizer and contained in the application form will be saved electronically and in any case will be used in accordance with the Personal Data Protection Act of May 10th 2018 (Journal of Laws of 2018, item 1000) and the Regulation of the European Parliament and Council (EU) 2016/679 of April 27th 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and the repeal of Directive 95/46/EC (general regulation on data protection)
  7. Detailed information on the processing of personal data and the obligation of information regarding personal data according to Regulation of the European Parliament and the Council (EU) 2016/670 of April 27th 2016 on the protection of individuals with regard to the processing of personal data and on the flow of such data and the repeal of Directive 95/46/EC (general regulation on data protection) can be found in the „privacy policy” tab on our website

XVIII. Safety, responsibility and resignation:

  1. All participants must follow the traffic regulations given that some parts of the race routes lead thru an urban areas.
  2. Registering for the run, participants confirm the lack of health contraindications to participate in the competition and that they will run on their own risk and responsibility. In case of any damage to health or material belongings, participants will not claim compensation from the organizers or land managers in the form of PGL LP. It is therefore stated that PGL LP does not bear any responsibility for accidents arising during the event.
  3. The majority of the route leads in a Tricity Landscaped Park, difficult to reach area, where providing help may involve long waiting of time.
  4. During the eventual accident, each participant of the run is obliged to call for assistance and provide emergency assistance to the aggrieved runner. Leaving a participant in need without any help will be punished with disqualification.
  5. If the participant resigns during the competition, he must immediately inform the organizers. People who do not report their departure from the route may be charged with the costs of unjustified search and rescue action.
  6. The organizer does not provide transportation to the competition base for people who will resign from the race in cases other than accident or injury.
  7. Resignation during the race or absence at the start does not entitle to return of the entry fee.

XIX. Final provisions:

  1. For safety reasons, the organizer can change or shorten the route and in cases of extreme weather conditions cancel the competition.
  2. Participants must have bib number attached on the front of the torso.
  3. Participants should get insurance on their own.
  4. The organizer does not take any responsibility for the unattended belongings.
  5. The organizer is insured against a civil liability toward runners. At the same time, the organizer informs that participants are not provided with any life, health or liability insurance for sickness, accident, injury, death or any loss or damage that may occur during the event.
  6. The organizer reserves all rights to allow medical and paramedical Staff employed on behalf of the organizer to provide first medical help or other medical procedures, including transporting the participant to a safe place.
  7. The decision of the medical personnel regarding the admission or continuation of the run during the event are final and irrevocable.
  8. The participant takes part in the competition only at its own risk and bears the associated risk. All participants acknowledge that participation in the run is associated with physical effort and entails natural risk and risk of accidents, the possibility of personal injury and physical injury (including death). Providing the organizer with a correctly completed registration form and entry fee means that the participant considered and assessed the nature, scope and degree of risk related to participation in the race and voluntarily decided to take this risk by running only on its own responsibility.
  9. The participant has current medical tests allowing to take part in the run or will sign a statement about the lack of contraindications to participate in the race.
  10. The organizer recommends participants to perform preventive medical examinations that can confirm the lack of contraindications to participate in the run.
  11. The organizer reserves the right to change the regulations, about which is obliged to inform all participants before the event by writing a message on the website.
  12. The binding and final interpretation of these regulations is only granted to the Organizers of TriCity Trail.
